When you create or edit a capacity allocation, the Left to allocate indicator in the bottom left corner of the allocation window shows how many of the task's budgeted hours are still available for planning. Hover over the colored bar to see the details.
When planning your team's capacity, Allfred gives you an immediate, at-a-glance understanding of:
The intended budget for the task's completion.
Progress made so far (tracked hours).
All future commitments (other allocations).
The effect of your current allocation decision.
Any remaining hours yet to be allocated or any excess (left to allocate/over budget)
Hover over the bar to open a tooltip with these details:
Task budget: the total number of hours budgeted for the task.
Tracked: the hours already tracked on the task.
Total allocated: all planned hours for the task that haven't been tracked yet. It consists of:
This allocation: the hours of the allocation you're creating or editing.
Other allocations: the hours of the task's other allocations.
Left to allocate: the hours still available for planning, calculated as Task budget − Tracked − Total allocated. If the result is negative, the task is over budget.
⚠️ Only allocations that aren't completed and are planned for today or later count towards Total allocated. Completed allocations and allocations in the past are already reflected in the tracked hours, or they no longer count.
Example: A task has a budget of 100 hours. 20 hours have been tracked so far, other allocations add up to 30 hours, and you're creating a 10-hour allocation. Left to allocate is 100 − 20 − (30 + 10) = 40 hours.
💡 Don't confuse Total allocated in the tooltip with Total allocated hours in the bottom right corner of the window. Total allocated hours shows only the allocation you're creating, including all its repetitions. Total allocated in the tooltip adds up all incomplete allocations for the task from today on.
