How to plan Time-offs, Vacation, Doctor or Home office?

Plan vacation, doctor visits, sick leave or home office in Planning, and learn how each affects daily capacity.

You can plan time-offs (such as vacation, doctor visits or sick leave) and home office days directly in Planning. Time-offs reduce a person's daily capacity, while home office doesn't. It only shows your team where you're working from.

Where to find it

  1. Go to Planning in the main menu.

  2. Click the + Allocate Capacity button (top of the calendar view).

  3. Select Time off (or Home office) as the allocation type.

  4. Choose the user(s) this applies to, the date range, and the specific absence type (Vacation, Doctor, etc.).

  5. Click Create.

💡 Tip: You can also hover directly over a specific day in a user's row in the Planning calendar - a quick-add icon will appear, opening the same window pre-filled with that user and date.

Time-offs

When planning time off for yourself or your team, there's the flexibility to designate various types of days off.

  • Vacation

  • Doctor

  • Illness Absence

  • Personal leave

  • Compensatory time

  • Unpaid leave

All time-off types reduce the person's daily capacity for that day. This is also reflected in the Utilization report.

💡 Missing a time-off type your agency uses? New time-off categories can't be added by users. Contact Allfred support at [email protected] and we'll help you.

In case of repetitive time-offs like Illness absence, you can use Repeat Daily option and set the time range of your absence.

If your workspace uses the Timetastic integration, time-offs are managed in Timetastic and can't be created directly in Allfred Planning. If you're interested in the integration, contact [email protected].

Home office

You can easily indicate your work-from-home days in Planning, ensuring transparent communication with colleagues or team leaders. You can set custom repetition patterns and add notes to give context to your remote workdays.

⚠️ Home office doesn't reduce your daily capacity. It works only as an indicator, so you can still plan tasks for these days as usual.
