Sometimes, when you’re planning work or creating tasks in Allfred, you’ll notice a red calendar icon next to someone’s name.
That’s Allfred’s way of letting you know there might be a time conflict — for example, the person is already booked or has time off like vacation or doctor appointment.
When you hover over the calendar, you’ll see two types of color indicators:
Red → shows an overlapping conflict (for example, another allocation or a time-off at the same time).
Grey → shows other planned work that doesn’t overlap, but still helps you see what’s already scheduled for that day.
How Time Conflicts Work
Allfred automatically checks people’s schedules when you:
create or edit allocations in Planning, or
create tasks for specific users.
If someone is already busy or unavailable, Allfred highlights that for you, so you can plan smarter.
Conflicts in Planning
When you plan an allocation for a specific user, Allfred checks if they already have something planned at the same time.
How It Appears
You’ll see a red calendar icon next to the user’s name and the time you’re planning (only when using Specific time).
Hover over the icon to open a calendar view where you can switch between months.
Days with conflicts show up in red.
When you hover over a red day, Allfred lists all tasks, meetings, or time-offs on that day and shows the person’s remaining capacity.
This makes it easy to see where the overlap happens.
If You Don’t Use “Specific Time”
When you create an allocation without a specific time (you just set the duration):
The calendar will appear red by default.
That’s because Allfred doesn’t know what exact hours the person will work, so it highlights the entire day and shows their available capacity instead.
Conflicts When Creating Tasks
Allfred also checks for conflicts when you create a task, but here it only looks at time-offs.
How It Appears
To let Allfred detect conflicts:
Fill in the From–To date (task duration).
Allfred checks if the person has any time-off during that range.
If there is one, you’ll see the red calendar icon next to their name.
Hover over the icon:
The calendar will open, showing months you can scroll through.
Days with conflicts appear red.
Hover over a red day to see all time-offs for that day.
This helps you quickly check if someone is on vacation or away when the task is scheduled.
Can I Turn Off Time-Off Visibility?
No — time-offs are always shown automatically based on the date range and duration you’ve set.
They can’t be hidden or turned off.
Why Don’t I See the Calendar Icon?
You might not see the red calendar if:
there’s no conflict in the selected time range, or
you haven’t filled in the From–To date, so Allfred doesn’t know what period to check.
Conflicts in Team or “All” Allocations
When you create an allocation for a team or for all users, conflicts don’t show up automatically.
If you want to check conflicts for each person:
use the “Assign users to task” option (checkbox),
this opens the list of all users in the team,
and you’ll see individual conflict indicators next to each name.
