This section lets you customize how resource planning and utilization tracking functions within your workspace.

To access these settings, navigate to your profile icon in upper right corner, click on 'Settings' and select 'Planning & Utilization' under the Workspace settings menu.

This comprehensive set of planning and utilization settings is designed to provide Admins with the tools they need to tailor the planning experience to their agency’s unique processes, ensuring a smooth and efficient management of team resources and project planning.

Configuring Resource Planning Settings:

  1. Working Hours: Define the standard work hours that will apply when calculating time-offs and daily availability.

  2. First Day of Week: Customize the calendar view by setting which day marks the beginning of your week across Allfred.

  3. Default Daily Capacity: Establish a standard daily capacity for planning purposes, setting a baseline for user availability.

  4. Default Specific Time Planning: Opt to have the "specific time" option as the default setting when allocating resources.

  5. Hide Daily Capacity Summary: Decide whether to display the daily capacity summary for the team, affecting only users with 'User' roles.

  6. Automated User Alphabetical Ordering: New users are sorted alphabetically in resource planning views, but manual arrangements can be adjusted if needed.

  7. Disable Home Office Planning: If necessary, prohibit users from scheduling home office time within the Resource planning section.

  8. Auto Bottom Sorting: New capacity allocations without a specific time will automatically sort to the bottom of the daily list.

Customizing Default Planning View Settings:

  • Card Color: Select a card color for capacity allocation cards to enhance visual sorting (options include light, solid, or white colors).

  • Starting Day: Choose which day will be displayed first in the calendar view for planning. Select "Today" to include an overview of unfinished tasks from the previous day or opt for the day you've designated as the "First day of week" for a traditional weekly start.

  • Adjust Allocation Height by Duration: The visual height of capacity allocations in the planning view will correspond to the duration of the allocations.

Determining Visibility and Order in Capacity Allocations:

Customize which elements appear and their order in capacity allocations, such as:

  • Project names

  • Task specifics

  • Budget items

  • Notes

Utilization Settings:

  • Utilization Thresholds: Set thresholds to visually indicate when a user's utilization is below or within the expected range.
