In Allfred, the organizational structure is hierarchical, starting with the Client at the top level. Each client can have multiple Brands and Billing Addresses, allowing for flexible management and invoicing across various projects and entities.
You can create a new brand or client while creating a new project or directly from the section Clients & Brands.
Click on Add new button
Select if you want to create new brand or client
Insert the name, brand code, related Client (in case of creating Brand)
Add the Billing address from the list or add a new one
Setting Up a Brand in Allfred
Once you've created a Client and Brand, Allfred will direct you to the Brand Detail page. Here, you can configure several important settings:
1. Brand Contact Person
This person's name will appear on invoices as the primary contact.
If you prefer not to display the client's name on invoices, simply select someone from your own agency (contact person is required when issuing the invoice)
2. Client Access
Grant your clients controlled access to specific projects or tasks.
3. Hourly Rates
Define an average hourly rate, which will be used automatically for brand projects without an assigned budget.
4. Responsible and Other Managers
Assign users who will have full access and control over all the projects, expenses, and invoices associated with this brand.
5. Documents Section
Upload important files such as contracts, orders, or other relevant documents.
You can also add external links for easy reference.
6. Rate Cards
Set up multiple rate cards for the brand, simplifying the budgeting process for future projects.
Setting up a Client
Each client in Allfred can manage multiple brands and billing addresses, simplifying the invoicing and project management processes.
1. How to Add a Billing Address
Clients often have several billing addresses, especially when projects require invoicing to different entities. Instead of creating multiple projects, simply add multiple billing addresses under a single client:
Navigate to the Client Detail page.
Click on + Add new billing address.
Fill in the required details (e.g., language, currency, due date).
Click Save.
2. How to Set Exchange Rates
If your contract with a client specifies fixed exchange rates (rather than daily rates), you can set these directly within the client details:
Go to the Client Detail page.
Click on Edit Rates, then select Add New Rate.
Choose the currency and input the exchange rate.
Set the date range during which this exchange rate is valid.
Click Save.
3. Responsible and Other Managers
