With the Client and Partner Access feature, agencies can invite clients or external collaborators (e.g., influencers, freelancers) into Allfred. This feature allows agencies to share specific project or task-related information securely while maintaining clear boundaries. Here’s how it works from both the agency’s and client’s perspectives.
Agency Settings: Managing Client and Partner Access
How to Invite Clients or Partners
Navigate to Users → Client Access or Partner Access.
Click the Invite Client or Invite Partner button.
Fill in the invitee's details and assign the brands they should have access to.

Access to brands - select the brands that should be available for this client/partner
Access - choose one of the type of access.
In case of "All", clients or partners automatically have access to all projects within the brand they were assigned to. However, their access depends on the project settings:If the access icon (highlighted in the screenshot) is unlocked (shows only user figures), the client or partner can access the project.
If the access icon has a lock symbol, the project is restricted to internal agency users only.
To grant access, agency users can toggle this setting directly from the project list.
In case of "Assigned" access type you need to add client/partner to the project or tasks manually
The invitee will receive an email with a link to set their password and access Allfred.
Managing and adjusting access
In the Users section, there are separate lists for clients and partners, where you can:
View all contact details.
See which brands, projects, and tasks are accessible to each client or partner. By clicking on user name or pencil icon you can edit details, turn off all notifications for user, or add/delete brands that the user has access to
Add a note to any client or partner profile.
Enable two-factor authentication (2FA) for enhanced security.
Set a deactivation date to remove access automatically if necessary.
Granting clients access to projects
To share a project with a client:
In case the Client has access set as "All", they are automatically authorized to access all the projects of the given brand
In other cases, go to the Project List and select the Actions button → Edit, or open the project details and click Edit.
In the Client Access field, select the specific client.
By granting project access, the client will be able to view:
List of Projects and Tasks: Clients can see projects (name, duration, responsible persons) and tasks assigned to them (or with unlocked access icon), their status, and related communication.
Invoice Status: They can check the invoicing progress for that project.
Projects shared with clients are marked with a special icon for easy identification.
Granting Access to Tasks
To add a client or partner to a task:
Open the task and click the "+" button near the Assigned Users section.
Choose whether to add a client or a partner, then select the specific user.
Once added:
The client or partner can view the task description, status, priority, duration, and deadline.
Communication within the task is split into separate threads for agency, client, and partner communication. The agency sees all threads, while clients or partners only see their respective conversations, protecting internal agency discussions.
Tasks shared with clients or partners are marked with a specific icon.
Tasks can be created also by clients or partners. In this case, they can choose only the project, not the budget item. Once created, the task will appear in the project detail under Not-budgeted budget item for review and assignment to the appropriate budget item.
Client and Partner: What they see in Allfred
Task List
Clients and partners can view a list of tasks they’ve been invited to by the agency. Each task includes:
Task name, status, deadline, and priority.
Separate communication threads for client or partner collaboration.
Project List
Clients and partners have access to a curated list of projects they’ve been invited to. The project details include:
Brand name, project title, and the responsible Project Manager from the agency.
A list of other client-side users invited to the project.
Invoicing progress percentage.
When opening a project, they can view:
Task details within the project.
Button for creating tasks
Responsible persons on the agency site
Hide all subtasks button
Toggle for showing or hiding done tasks
Creating Tasks for the Agency
Clients and partners can create tasks directly for the agency. To do this:
Fill in the task name, project, description, status, priority, and deadline.
Once created, the task will appear in the project detail under Not-budgeted budget item for review and assignment to the appropriate budget item.
