If you plan the same activity for several months, for example a monthly social media retainer, you don’t have to create each budget item manually. With Repeat section, Allfred creates the repetitions for you, such as “Social media January”, “Social media February” and so on. All repetitions have the same values, so use repeat only when you know in advance that the amount will be the same every period.
How to repeat a budget item
In the budget section, click Repeat section in the lower right corner of the budget item.
2. Choose the type of repetition:
Months: each repetition is named after a month, for example “Social media July”. Choose the starting month. You can also start in the middle of the year.
Numbers: each repetition is numbered, for example “Social media 1”, “Social media 2”. Use this when the repetitions aren’t tied to specific months, for example quarters or campaign phases.
3. Set the number of repetitions. Use the up and down arrows, or type the number directly.
Allfred then shows all the repetitions in the Project Overview in a logical, chronological order.
⚠️ You can’t edit a single repetition. All repetitions share the same values. If one month needs a different amount, see the next section.
What if one month has a different value?
You can’t change one repetition, but you can split the repeat into several budget items.
Example: a monthly fee of 1,000 EUR is repeated from September for 6 months, but in December it’s only 800 EUR.
Shorten the original repeat so that it ends in November (September–November, 1,000 EUR).
Create a new budget item for December with 800 EUR. Name it clearly, for example “Fee December”.
Create another budget item with the same name as the original and repeat it from January for the remaining months (1,000 EUR).
💡 If you use the Months type, the repetitions must follow each other chronologically, because Allfred fills in the month names automatically. With the Numbers type, the order doesn’t matter.
What if the amount is different every month?
If you know in advance that the values will differ each month, don’t use Repeat section. The best approach depends on whether you’re planning agency work or external costs.
Budget section | What gets into the project | Recommended approach |
Agency work | only the budget item (blue row) with its total amount | one budget item per month, created with Duplicate section |
External production, media | every row (grey row) as a separate item | one row per month, or one budget item per month |
Agency work
In agency work, the project receives only the budget item (the blue row) with its total amount, not the individual rows. To plan a different amount each month, each month needs its own budget item:
Create the budget item for the first month, for example “Social media January”.
Click Duplicate section and rename the copy to the next month, for example “Social media February”.
Adjust the hours or price for that month.
Repeat for the remaining months.
Each month is then a separate budget item, so you can change its values at any time.
External production and media
In external production and media, every row (grey row) is carried over to the project as a separate item. This means you can plan the months directly as rows and change any of them later, for example if one month turns out to be higher than planned. Choose the structure that fits how you’re invoiced:
One supplier or channel → rows are months. Name the budget item after the supplier or channel (for example “Facebook Ads”) and add one row for each month (“January”, “February”…).
Several items per month → budget items are months. Create one budget item per month (for example “Media January”) and add the individual suppliers or channels as rows (Facebook Ads, Google Ads…). Use the Duplicate section to create the following months.
FAQ
Can I change the amount for just one month of a repeated budget item?
No. All repetitions share the same values. Split the repeat as described in “What if one month has a different value?”, or use Duplicate section if the values differ every month.
What’s the difference between the Months and Numbers repetition type?
Months names each repetition after a calendar month and keeps them in chronological order. Numbers just number the repetitions (1, 2, 3…), so you can use them for quarters, phases, or anything not tied to a month.
My media costs are around 100 EUR a month, but sometimes it’s 95 or 105. Should I use repeat?
No. Add each month as a separate row in the media section. Every row becomes a separate item in the project, so you can adjust the exact amount for each month at any time.
