How to set repetitions for capacity allocations in Planning?

Set capacity allocations to repeat daily, weekly, monthly or yearly, and learn how to choose the end date and repeating days.

You can set up recurring capacity allocations, such as regular meetings or recurring work on a task. Choose from daily, weekly, monthly or yearly repetition, set when the repetition should end and, for weekly repetition, on which days the allocation should repeat.

You set repetitions in the Date section of the capacity allocation window. Use the Repeat option to choose daily, weekly, monthly or yearly repetition.

⚠️ The end date of the repetition (To date or End of occurrence) is pre-filled with the same date as the From date. Always change it to the date when the repetition should end, otherwise no repeated allocations will be created.

Daily repetition of a capacity allocation

  • Set the From date and To date of the repetition.

  • In the Every field, set how often the allocation repeats. The default is 1, which means every day. Set it to 2 for every other day, and so on.

  • To include Saturdays and Sundays, check Include weekends.

Weekly repetition of a capacity allocation

  • Set the From date and the End of occurrence.

  • In the Every field, set how often the allocation repeats. 1 means every week, 2 means every other week, and so on.

  • Under Recurrence, select the days of the week when the allocation should repeat. You can select weekend days too.

Monthly repetition of a capacity allocation

  • Set the From date and the End of occurrence.

  • In the Every field, set how often the allocation repeats. 1 means every month, 3 means every quarter, and so on.

  • The allocation repeats on the same day of the month as the From date, regardless of which day of the week it falls on.

💡 Monthly repetition always falls on the same date, even if that date is a weekend. If an allocation should always land on a working day (e.g. preparing invoices every month), use Weekly repetition instead: select the day of the week and set it to repeat every 4 weeks.

Yearly repetition of a capacity allocation

  • Set the From date and the To date.

  • In the Every field, set how often the allocation repeats, e.g. 1 for every year.

  • The allocation repeats every year on the same date as the From date, regardless of which day of the week it falls on.

  • Allfred doesn't check whether the date falls on a weekend, so the allocation may land on a non-working day.

How many hours will a repeated allocation take in total?

The duration you set for the allocation applies to each occurrence. At the bottom of the allocation window, Allfred shows:

  • Total allocated hours: the duration of one allocation multiplied by the number of occurrences. For example, an 8-hour allocation repeated every Tuesday for 4 weeks gives 32 total allocated hours.

  • Left to allocate: how many of the task's budgeted hours are still available for planning. Learn more about the Left to Allocate indicator

💡 Check the total before clicking Create. If it's higher than expected, adjust the duration or the end date of the repetition.

Editing or deleting repeated allocations
