When you create a task, you can plan it in Planning right away. Check Create allocation for this task, and Allfred spreads each person's budgeted hours evenly across the working days in the task's date range and creates their allocations in Planning.
⚠️ Allocations are created only once, the first time you save the task with this option checked. If you later change the task's hours, people or dates, the allocations in Planning aren't updated.
How to create allocations together with a task
Create a new task or open an existing one and click Edit. See How to create a new Task or Subtask.
Fill in the required fields for the allocations:
People with their positions and budgeted hours for each person
Duration of the task (date range from–to)
Check Create allocation for this task.
Save the task.
How Allfred splits the hours
For each person, Allfred takes their budgeted hours on the task, counts the working days in the task's date range, and creates an allocation of the same length for each working day.
Example: A task runs over 20 working days. Anna has 42 budgeted hours and Peter has 30. Allfred creates:
an allocation of 2.1 hours (42 ÷ 20) for Anna on each of the 20 working days
an allocation of 1.5 hours (30 ÷ 20) for Peter on each of the 20 working days
💡 This option is a shortcut for work that's spread evenly over time. You can't set different hours for different days here. If someone needs 5 hours on Monday and 1 hour on Tuesday, plan it directly in Planning, or create the allocations with this option and then adjust individual days in Planning: lengthen, shorten or delete them as you need.
Changing the allocations later
Because the allocations are created only once, changes to the task don't affect them. To change them, go to Planning, open one of the allocations, click Edit and choose All occurrences to update the whole series. See How to edit a capacity allocation.
💡 Didn't check the option when creating the task? You can still use it later. Open the task, click Edit, check Create allocation for this task and save. Allfred creates the allocations, because it's the first time you've used the option for this task.
FAQ
Why can't I set different hours for different days?
Allfred can't know how much time someone will need on which day. This option spreads the hours evenly as a starting point. You can then adjust each day in Planning.
I changed the task's budgeted hours, but the allocations in Planning stayed the same. Why?
Allocations are created only once and aren't updated with later task changes. Edit the allocations in Planning and choose All occurrences.
Does Allfred plan allocations on weekends?
No, the hours are spread only across working days in the task's date range.
