How to use List of Tasks in Allfred

Note: Updated list of tasks is currently available only in selected workspaces, as it is being gradually rolled out across servers.

The List of Tasks section provides an organized overview of all agency tasks, ensuring each team member clearly understands their responsibilities. Here you can quickly access task details, communication, deadlines, and time tracking information.

Task list sections

The List of Tasks is divided into four tabs:

  • Highlighted: Tasks from projects that your project managers have specifically pinned for easy access.

  • My Tasks: All tasks assigned directly to you.

  • My Created Tasks: Tasks you have created either for yourself or colleagues.

  • All Tasks: A complete list of all agency tasks.

Search

  • Quickly search tasks by project or task name.

Filters

Tailor your task view using comprehensive filtering options:

  • Client

  • Brand

  • Project

  • Budget Item

  • Team

  • Task Status

  • Priority

  • Assigned People

  • Position

  • Task Creator

  • Billing Category

  • Project Category

  • Deadline (tasks within a specific date range)

  • After Deadline (tasks past their deadline)

  • After End Date (tasks past their end date)

If you apply a filter that targets only subtasks (but not their parent tasks), the task list will still show those subtasks visually as main tasks. To make this clear, a subtask icon will appear next to the task title. When you hover over it, you’ll see the name of the parent task along with a clickable link to open it.

Visibility Toggles

  • Show Done Tasks: Toggle visibility of completed tasks, hidden by default.

  • Hide All Subtasks: Quickly hide all subtasks to simplify your view.

Main Task List/Table

Below is a detailed breakdown of the main task table to help you efficiently navigate and manage your tasks:

  • Title: Shows the task name; hover to view the full name in the tooltip. An icon indicates if subtasks exist.

  • ID: Automatically generated unique task or subtask identifier.

  • Status: Indicates current task status, editable inline.

  • Project: Project to which the task belongs.

  • Budget Item: Linked budget item.

  • Deadline: Color-coded deadlines - red (overdue), green (approaching), gray (future deadlines).

  • Tracked: Hours logged in task.

  • Budget: Allocated hours budgeted for the task.

  • Client Access: An icon shows client accessibility; if missing, hover to unlock for clients with 'All' access.

  • Priority: Task urgency level, editable inline.

  • People: Team members assigned to the task.

  • Comments Icon: Indicates if the task includes any communication.

Scrolling right on smaller screens will freeze the task title column for easy reference. Columns can be sorted alphabetically or numerically by clicking the arrows.

Bulk Actions

Easily perform mass actions on tasks:

  • Duplicate: Create task copies, maintaining or modifying titles, projects, budget items, durations, deadlines, statuses, billing categories, and priorities. Positions assigned to original tasks can be removed and reassigned or you can add new ones.

  • Move: Relocate tasks to different projects, budget items, or parent tasks. Existing positions can similarly be removed and reassigned or you can add new ones.

  • Delete: Only tasks without tracked hours can be deleted.

  • Edit: Bulk-edit titles, project and budget item associations, durations, deadlines, statuses, billing categories, and priorities. You can also remove and redefine positions and assignments.

Note: When performing bulk actions, you cannot directly edit the current positions and assigned people to tasks. Instead, you must completely remove existing assignments and replace them with new information or you can just add new (yet unused) positions and assign users to them.

Bulk actions can be performed from:

  • The Global Task List

  • Project-specific Task Lists

  • Tasks under Budget Items in the Project Overview
