How to Enable Quantities and Unit Prices on Invoices in Allfred

Learn how to enable quantities (e.g. number of hours) and unit prices/hourly rates on invoices in Allfred for more detailed invoicing.

In Allfred, you can easily manage and customize how invoice details are displayed for both fixed-price and Time and Materials projects. Whether you want to show quantities (such as the number of hours worked or delivered quantities) or unit prices (like hourly rates or general price per unit), Allfred gives you the flexibility to tailor your invoices to match your project setup.

Where to Turn On Unit Price

You can set Unit Price and Quantity to show by default on your invoices. To enable this, go to Workspace SettingsFinancial → scroll down to Invoice Options, and toggle the switches for Show Unit Price on Invoices by Default. This setting ensures that unit prices/quantities will be automatically displayed on all future invoices unless manually adjusted.

Unit Price in Fixed Price Projects

In fixed price projects, Allfred now allows you to invoice based on quantities, such as hours worked or delivered services, and display unit prices on the invoice. Here's how to enable these options during the invoicing process:

1. Our Work category: Access Invoice Positions in the Second Step of Invoicing

  • In the second step of the invoicing process, click on "Invoice Positions" in case of Our work budget items

  • Allfred will display all the positions specified in the project budget, with the uninvoiced hours prefilled by default.

  • You can check the tooltip for details about tracked hours and adjust the quantity (hours) accordingly.

  • The unit price is also prefilled, representing the hourly rate you initially set in the project budget.

Important Notes:

  • This option works only if you have specified the exact amount of hours in the project budget.

  • If the budget item is categorized as a service or a flat rate, Allfred will not be able to determine the number of hours to invoice for the particular position.

2. In case of External production, you can specify the amount in the third step

3. Generate Invoice in the Third Step

  • In the third step of invoicing, click the "Generate from Budget Items" button.

  • Allfred will transfer the amounts and hours from the second step into the third step.

  • If you need to adjust the quantities or amounts, you must return to the second step to ensure the data matches between the two steps. Any changes must be made in the second step as the amounts in the second and third steps must align.

  • if you decide not to display the Quantity on the invoice, you can turn it off by clicking on the "Show quantity" switch button

Unit Price in Time and Materials Projects

In the case of Time and Materials (T&M) projects, you have several options for what type of information to display on the invoice.

In case of work items, you can define this in the second step of invoicing by using the Group by button. In case of External production, you can specify the amount in the third step.

  1. Group Invoice Items: In the second step of invoicing, you can group the invoice items by:

    • Task

    • Position

    • User

    • Date

    • Week

    • Month
      What you choose here will determine the grouping and display options in the third step.

  2. Select Invoice Items: Check the checkboxes for the items you want to invoice, then click Next Step.

  3. Generate Invoice Rows: In the third step, click on the Generate from button. You have two options:

    • Generate from Budget Items: Allfred will generate invoice rows for each budget item.

    • Generate from the Group by Option: Allfred will generate invoice rows based on the grouping you specified in the second step, such as by task, position, etc.

  4. Display or Hide Quantity and Unit Price:

    • Leave the Show Quantity switcher enabled to display quantities (hours) and unit prices (e.g., hourly rates).

    • If you prefer not to show this information, simply toggle off the Show Quantity switcher.
