Why can’t I see some budget items in my project?

A budget item isn’t visible in the project? Check for zero values, the clock icon in agency work, and hidden budget items.

If an item is in your budget but you can’t see it in the project detail, it’s usually caused by a zero value or by the item being hidden. The fix depends on whether it’s an agency work item or an expense item (external production, media).

Agency work items

If an agency work item is priced with the clock icon (hours) and all its values are 0, Allfred treats it as empty and doesn’t show it in the project.

To show a zero-value work item in the project, switch it to the dollar icon and enter 0. Then save the budget as Final and assign it to the project again.

Expense items (external production, media)

If you’ve created production or media costs in the budget but they aren’t visible in the project detail, check if the Price column (the client-facing price) is filled in with an amount.

  • Price is the amount charged to the client.

  • Buy Price is the internal cost for the agency, which is not visible to the client.

If the Price is set to zero, the expense item won’t appear in the project detail. To display a zero-value expense item in the project, use 0.01 instead of zero.

Is there a better way?

If you’re entering Price as 0 because you want to track an internal cost that the client shouldn’t be billed for or see, for example, a freelancer you’re planning to use, don’t use the 0.01 workaround in the budget at all. Use Planned Expenses instead. It’s designed exactly for costs the agency wants to track internally that never appear in the client-facing budget or project.

Check whether the item isn’t hidden

If none of the above applies, check whether the budget item has been hidden in the project. Hidden items aren’t shown in the project overview until you turn on Show hidden budget items.
