Templates in Allfred help you streamline workflows by standardizing the creation of individual tasks or whole task groups. They allow you to set predefined settings for recurring work, such as assigning team members or setting deadlines and priorities.
With just one click, you can create fully structured projects by applying task group templates across multiple budget items at once, over and over again. This makes templates ideal for managing repetitive tasks, retainers, or long-term projects, enabling you to replicate processes quickly and efficiently.
To create the tasks from templates in the project, the template group must exist first.
Task Group Templates:
A collection of tasks grouped under a single header. These task groups are also managed exclusively in the Templates section and do not appear in the main task listing. They cannot be tracked, planned, or assigned to work expenses individually.
Quickly apply entire task groups to multiple budget items in your project for efficient setup. For example, in a retainer project, you can instantly create multiple task groups across all relevant budget items.

How to create a Task group template
Navigate to Templates -> Task Group Templates.
Click on +New Template, enter a name for the task group, and click Create.
In the task group list click on New Task button to add tasks to the group.
Fill in the following details for each task and click Create:
Name (required)
Parent Task (in case you want to create subtasks for existing task in the group)
Total Hours
Position
Assignee
Description + Add Files
Duration and Deadline*
Status
Billing Category
Priority
Newly created tasks and subtasks will appear in the task group template list.
*Setting Task Durations in Templates
When creating tasks within a Task Group Template, you can define their duration in two different ways:
1. Fixed Dates
You can set an exact Start Date, End Date, and Deadline directly in the template. These exact dates will be applied to the tasks when the template is used to generate tasks within a project. (Use this method if you’re creating e.g. date-specific events.)
2. Relative Dates
Alternatively, you can define task durations relatively using the "From", "To", and "Deadline" fields. These are offset values in days, calculated from the start date of the budget item within the project.

Example: How Relative Dates Work (Step-by-Step)
Let’s say your project start date is:

This logic is applied to each budget item individually — especially useful for monthly repeated sections, where Allfred adapts dates automatically based on each month’s start.
Day (DD) is taken from the project’s start date.
Month (MM) is taken from the specific repeat month of the budget item.
Additional Notes
Both fixed and relative dates are empty by default. You can easily adjust durations later using bulk actions in the project view.
If you leave relative dates as
0
, Allfred will use the project start date as the base date.When tasks are generated from a template into a project, they are always ordered by the ascending ID of parent tasks, ensuring consistent structure and execution.
If you're using relative dates in a project with a monthly repeat budget, keep in mind that Allfred calculates a unique start date for each repeated budget item (same day, different month). This allows you to use "Select All" when creating tasks from the template — and Allfred will automatically assign the correct dates for each month's set of tasks based on the respective budget item’s start date. How to edit Task Groups?
Once tasks or subtasks are created in the template, you can edit them with these actions:
Rename: Hover over the task group name and click the pencil icon.
Delete: Click the red bin icon to remove a task group.
Editing Tasks in the Group (by clicking on task):
Copy Link: Share a direct link to the task template.
Duplicate: Create a copy of the task template within task group.
Move: For turning a task into a subtask by moving it under a different parent task.
Delete: Remove the task or subtask from the group.
Edit: Update task details as needed.
How to create tasks from Task groups in projects?
Follow these steps to create tasks from task groups within a project:
Navigate to the project detail and go to the relevant budget item.
Click on +Task and select option Task group.
Choose the budget item(s) under which you want to create tasks. You can select one or multiple items.
Select the task group template you want to use. You can use the option Select all in case you want to use all budget items.
After clicking on task group name Allfred will display a list of tasks that will be created under the selected budget items. Note: Editing tasks in this modal window is not possible.
Click on Create. The creation process may take a few seconds.
Once created, tasks from task groups function just like regular tasks. You can manage, track, and update them as needed.
