How to remove a user from Planning?

Hide a user from Planning by unchecking "Show user in planning" in their settings. Their data and reports stay unchanged.

If someone shouldn't appear in Planning, such as a freelancer, a manager who doesn't take on tasks, or a person who has left the agency, you can hide them from Planning. Hiding a user from Planning doesn't delete them from Allfred, and their tracked time and other data stay unchanged.

How to hide a user from Planning

  1. Open the user's settings in one of two ways:

    • Go to the Users section and edit the user, or

    • If you are a Managing Director, CFO or Admin, click the pencil icon next to the user directly in Planning.

  2. Open the Planning & Utilization tab.

  3. In the Plannable row, uncheck Show user in planning.

  4. Click Update.

Planning vs. Utilization report: showing a user in Planning and including them in the Utilization report are two separate settings.

  • Show user in planning (in the Plannable row) controls only whether the user appears in Planning.

  • Show in utilization report (in the Capacity in planning section) controls whether the user is included in the Utilization report. It's set separately for each capacity period (From – To).

You can, for example, hide a user from Planning but keep them in the Utilization report if you measure their utilization by budgeted task hours rather than by planned allocations.

Who can change this setting?

Only users with the Team Leader, Managing Director, CFO or Admin role can change whether a user is shown in Planning.
