How to apply new hourly rates to existing budgets and projects

Changes to a rate card apply only to new budgets. Learn how to update rates in existing Fixed price and Time & Materials projects.

Written by Alexandra Gallisová

When you edit a rate card or create a new one, the change applies only to budgets created afterwards. Budgets that already exist or are assigned to projects keep their original rates, so your past quotes and project values don’t change unexpectedly. If you want the new rates in an existing project, you need to update them manually. The steps depend on whether it’s a Fixed price or Time & Materials project.

How to prepare new rates for future budgets

If your rates change, for example at the start of a new year, we recommend creating a new rate card instead of editing the old one:

  1. Go to Quotes → Hourly rates and commissions and click + Add rate card.

  2. Set the new rates and tick Default card, so the new rate card is pre-selected in new budgets.

  3. Click Create.

Your existing budgets keep using the old rate card. You can rename the old rate card (for example, “Rates 2025”) so it’s easy to tell apart.

How to apply new rates to an existing project

Fixed price projects

In Fixed price projects, rates come from the budget assigned to the project. To update them:

  1. Open the budget assigned to the project.

  2. In Select rate card, choose the new rate card. If you only need to change a few rates, use Edit positions instead.

  3. Save the budget as Final.

  4. Assign the new version of the budget to the project.

Time & Materials projects

In Time & Materials projects, rates come from the rate card selected in the project settings. To switch the project to a new rate card:

  1. Open the project and go to the Settings tab.

  2. In Rate card, select the new rate card.

  3. Click Apply.

If you only need to change one or two rates for this project, you don’t have to switch the whole rate card. Adjust the rates directly under Hourly rates → Rates per task in the same tab.

💡 To change the rate card itself, click Edit this rate card in settings below the rate card selection. Remember that changes to a rate card apply only to new budgets.

FAQ

I changed the rates in my rate card. Why didn’t my existing budget change?
Rate card changes apply only to new budgets. To update an existing project, follow the steps above for Fixed price or Time & Materials projects.

Should I edit my existing rate card or create a new one?
If the rates change for all future work, for example a yearly price increase, create a new rate card and mark it as Default card. Your old budgets stay clearly linked to the old rates.
