Document types
At the top left of the Documents tab, use the Document type button to switch between:
Contracts — agreements with the client (e.g. master service agreements, NDAs, other legal contracts)
Orders — purchase orders, either issued by the client to the agency, or by the agency to its own suppliers
Other — any other supporting document, such as acceptance or delivery protocols
External links — links to shared resources like Figma, Canva, a client's cloud drive, or any other external tool. 👉 See Project and Brand Wiki: How to create External links?
Attaching documents to invoices
If you upload a document as a PDF, Allfred will offer it as a checkbox during the first step of the invoicing process — you can select it, and Allfred will merge the invoice PDF with the document's PDF automatically. This is useful for automatically including a signed contract or an order confirmation with the invoice you send.
Purchase Orders (PO) without an attachment
You don't need to attach a file to save a document. If you only track purchase orders as a number — rather than receiving a PDF from the client — create an Order via the Add new button (top right) and just enter the PO number. This number is then offered during invoicing the same way an attached PDF would be: there's nothing to merge, but the PO number is pulled onto the invoice as a new line.

Editing and managing documents
Use the three-dot menu at the end of each row to edit or delete a document. When editing a contract, you can change its type — Master Agreement, Copyright, NDA, or Other.
You can also edit the document's title and its validity — whether it's tied to the project, the brand, or the client — which affects where else it's visible (see below).
Visibility across levels
Documents follow a "trickle-down" rule: a document saved at a higher level (client or brand) is automatically visible at every level below it.
A document saved on the client level is visible on every brand and every project under that client
A document saved on the brand level is visible on every project under that brand, but not on other brands of the same client
A document saved directly on a project is visible only on that project
Search and filters
Use the search bar to find a document by name. For External links specifically, you can also filter by type, and by validity date range (valid from / valid until).
